Miami Special Event Transportation Planning Checklist

A successful event transportation plan covers more than getting everyone to the venue. It tells each guest where to meet, gives each vehicle a workable schedule and explains how everyone will get home. Those details matter whether you are arranging a wedding in Miami, a corporate dinner in Fort Lauderdale or a celebration in Palm Beach.

Start with the guest movements and venue requirements. Then choose the vehicles and service arrangement that fit them. This checklist helps you prepare the information BHBB USA needs to coordinate your event transportation. 1. Build the guest movement plan

List each journey in time order: hotel to ceremony, ceremony to reception, venue to hotel, or any separate movement for hosts and VIPs. Record the passenger count for each leg; the same people may not travel together throughout the day.

For every stop, provide the full street address, building or venue name, usable entrance and loading instructions. A hotel may have several entrances, and the main map pin may lead to valet parking instead of the agreed pickup point. Add the on-site contact who can clarify access when vehicles arrive.

Keep three times distinct: when the vehicle should report, when guests should be ready and when the vehicle should depart. Work backward from when guests need to be inside the event, allowing for boarding, driving, unloading, walking and check-in.

2. Confirm practical capacity

Ask for the passenger and storage capacity of the actual vehicle configuration. A vehicle name alone does not establish whether it can accommodate your group and belongings.

Confirm these details before assigning guests:

  • Passenger count on every leg, including children.
  • Luggage, gifts, garment bags and equipment traveling with the group.
  • Mobility devices, boarding assistance and other accessibility requirements.
  • Any child-seat arrangements.
  • Whether belongings need to stay in a vehicle during the event.

If the plan changes from passengers only to passengers plus airport luggage, reassess capacity. A second vehicle or a different configuration may be necessary. Do not leave that decision until guests are boarding.

3. Check the venue's actual access plan

Confirm the permitted drop-off and return pickup points with the venue or event organizer for your specific date and vehicle type. Ask about staging space, loading windows, credentials and how the chauffeur should approach the entrance. A pickup arrangement from a previous event may no longer apply.

For stadiums and other large venues, verify private-car arrangements separately from rideshare instructions. Also check the walk from the vehicle to the guest entrance, particularly for anyone who needs boarding or mobility assistance.

For a hotel–Hard Rock Stadium round trip, BHBB USA recommends hourly service and strongly recommends arranging the appropriate event parking pass in advance. Plan approved parking at the venue so the same chauffeur and vehicle remain available, bags and luggage can stay with the vehicle as arranged, and the return meeting point minimizes walking. Confirm the actual parking and pickup locations for the event. This arrangement also supports an early return or an additional restaurant or celebration stop within the agreed service area.

Before dispatch, review FL511 for traffic speeds, incidents, closures and construction information. For a Miami Beach destination, the city's active construction-project map provides additional local context. Confirm temporary event access directly with the organizer; a construction map does not establish the event's pickup rules.

4. Test the schedule with a simple example

Imagine 24 guests traveling from one hotel to a 6:00 p.m. reception and returning afterward. For this example, assume two assigned vehicles have each been confirmed to accommodate 12 guests and their belongings. These are planning assumptions, not a statement of availability or standard vehicle capacity.

MovementIllustrative timeWhat must be coordinated
Vehicles report at the hotel4:50 p.m.Agreed loading location and vehicle assignments.
Guests meet and board4:55–5:05 p.m.Two groups of 12; each group leader checks attendance.
Depart for the venue5:05 p.m.A 40-minute drive is assumed for this example.
Estimated drop-off5:45 p.m.15 minutes remain for modest delays, walking and entry before 6:00 p.m.
Reception ends; guests meet for the return11:00–11:15 p.m.Group leaders assemble guests at the confirmed return point.
Planned return boarding and departure11:15–11:25 p.m.Both groups are counted; each vehicle departs when cleared to load and ready.

The outbound calculation is 6:00 p.m. − 15 minutes for delays and entry − 40 minutes of driving = 5:05 p.m. departure. Reporting and boarding happen before that departure time. If venue queues, the walking distance or traffic require more than the assumed allowance, move the departure earlier.

Confirm whether the vehicles remain assigned during the reception or return for a separate booked pickup. Share a hotel-arrival estimate based on the return route and conditions; do not assume the evening drive takes the same time as the outbound journey.

5. Give guests one clear set of instructions

Choose a lead transportation contact who coordinates itinerary and guest changes, and nominate a group leader for each vehicle when useful. Share only the passenger information needed to coordinate the trip.

A short guest message should identify the meeting time, exact entrance or landmark, vehicle or group number, contact number and what to do if someone is delayed. Use one itinerary with a revision time so the planner, venue contact and transportation team work from the same version.

For executive guests whose event attendance connects with meetings or airport transfers, our executive assistant's ground transportation guide explains how to coordinate the wider itinerary.

6. Agree on the return and changes in advance

Decide whether guests leave together, in scheduled waves or at different times. Confirm a primary return point and a backup that the venue permits, along with the person who will communicate any change. Guests should receive revised instructions before walking to a different location.

A fixed transfer can suit a firm departure time. It has its own waiting allowance and charges; extra vehicle availability must be checked because another reservation may follow. Hourly service keeps the chauffeur and vehicle assigned, with time before boarding and between movements counted as hourly service rather than a separate waiting charge. Additional hourly time is covered by the confirmed arrangement and billed under the agreed rate, minimum and billing terms, without separate extension approval. Compare the options in our hourly versus point-to-point service guide. Review our booking and service FAQs for the applicable conditions.

An early departure can affect everyone assigned to that vehicle. Agree on which group contact decides the departure and who informs the other guests. Continuing the confirmed hourly service does not need separate extension approval; requesting another vehicle or a separate transfer needs its own arrangement. Keep the chauffeur or dispatcher updated about route and stop changes, and record special requests, vehicle preferences and venue arrangements in the reservation.

Send a complete brief

Send the event date, schedule, guest counts by movement, addresses and entrances, belongings, assistance requirements, lead contact and return plan. With those details, BHBB USA can review the vehicle options and coordinate the proposed movements with you.
